User roles at a glance
- Owner
- The person who registers the organisation. Full access to billing, settings, and all features. Only the owner can upgrade or cancel the plan.
- Admin
- Can manage users, view all CPD records, configure compliance rules and career pathways, and access organisation analytics. Cannot manage billing.
- Manager
- Can review and approve/reject CPD submissions for their department. Sees the staff dashboard for their team members only. Access to department-level analytics.
- Staff
- Can submit CPD records, upload evidence, view their own dashboard and compliance status, and track their career pathway progress.
Step 1 — Register your organisation
- Go to saas.brivkor.com/register.
- Enter your organisation name — a URL-friendly slug is generated automatically.
- Enter your name and email address. This becomes the owner account.
- Click Create Organisation.
Step 2 — Sign in to your dashboard
After clicking your verification link, you'll be signed in automatically. Future sign-ins at saas.brivkor.com/login work the same way — enter your email, receive a magic link, click to sign in. No password to remember.
Your dashboard shows:
- Organisation-wide CPD summary and trends
- Pending submissions awaiting review
- Recent activity across the team
- Your current plan and trial status
Your 14-day free trial begins when your email is verified, giving access to all Professional-tier features.
Step 3 — Invite your team
- Go to Organisation Settings → Members.
- Click Invite Member.
- Enter the team member's email address and select their role (Admin, Manager, or Staff).
- Click Send Invitation. An email is sent with a sign-up link unique to your organisation.
Invited users click the link, confirm their name, and are added to your organisation automatically. No password required — they sign in via magic link like you do.
Step 4 — Staff submit CPD records
Each team member submits CPD records from their dashboard or the Submit CPD button. They fill in:
- Title — name of the activity
- Type — Course, Conference, Workshop, Self-study, etc.
- Date and duration
- Description — what they learned and how it applies to their role
- Evidence — optional file upload (certificate, notes, screenshot)
Submitted records go into a Pending state and appear in the manager's review queue.
Step 5 — Managers review submissions
Managers see a Pending Reviews badge when records are waiting. From Reviews:
- Open a pending submission to view full details and attached evidence.
- Click Approve to verify the record, or Reject with a reason.
- The staff member receives an in-app notification about the decision.
Use Bulk Actions to approve, reject, or extend access for multiple users at once (Starter plan and above).
Step 6 — Staff dashboard and compliance
The Staff Dashboard (Starter+) gives each staff member — and their manager — a dual-track view of CPD progress:
- Employer requirements — hours and competencies required by the organisation
- Personal targets — the staff member's own development goals
- Compliance status — driven by the Compliance Rules configured for their role
- Career pathway position — which step they're on and whether they're eligible to progress
Admins configure compliance rules in Settings → Compliance Rules. Rules can set minimum annual hours, mandatory evidence types, or specific deadlines (annual or fixed date). The engine evaluates every staff member automatically and surfaces shortfalls.
Step 7 — Career pathways
Define your organisation's role progressions in Settings → Career Pathways (Starter+). Each pathway has ordered steps — for example: Junior Analyst → Analyst → Senior Analyst → Principal.
- Assign staff members to a pathway when assigning their role
- The staff dashboard shows their current step and whether they meet the criteria to advance
- Admins can progress a staff member to the next step, which automatically creates a new role assignment
Step 8 — Analytics, reports, and export
Access Analytics from the main menu for organisation-wide insights:
- Total CPD hours across the organisation
- Submission and approval rates by department
- Compliance status per team member
- Trends over time
Additional reporting features on higher plans:
- Scheduled Reports (Professional+) — automated PDF reports emailed to recipients on a daily, weekly, or monthly schedule
- Audit Trail Export (Professional+) — full GDPR-compliant activity log exportable as CSV or JSON
- White-label PDF Reports (Business+) — branded reports with your organisation's logo and colours
Step 9 — Upgrade your plan
Only the organisation owner can manage billing. To upgrade:
- Go to Pricing from the main menu.
- Select your plan — Starter (£29/mo), Professional (£79/mo), or Business (£179/mo).
- Complete checkout via Stripe — payment is processed securely.
- Your organisation's plan updates immediately.
To cancel, go to Organisation Settings → Billing → Cancel Plan. You keep access until the billing period ends.

Common questions
- What happens when the free trial ends?
- Your organisation moves to the Free plan — you keep your data and up to 3 users. All records remain intact. Upgrade at any time to restore access to higher-tier features and user limits.
- How does passwordless sign-in work?
- Enter your email address on the login page and we send a magic link to your inbox. Click it and you're signed in — no password to create or remember. Links expire after a short time for security.
- Why am I signed in on two tabs after clicking the magic link?
-
This is expected behaviour and completely safe — it's how MyCPD's cross-device sign-in works.
When you request a sign-in link, your browser tab quietly waits in the background. When the magic link is clicked — whether in the same browser, on your phone, or on any other device — your waiting tab detects the confirmation and signs itself in automatically. No extra steps required on any device.
Practical example: open the login page on your work PC, receive the email on your mobile, tap the link on your mobile — and your PC tab signs in on its own. This works across any combination of devices on the same account.
If you clicked the link in the same browser you'll briefly see two signed-in tabs — that's normal. Simply close whichever one you don't need. - Can I change a team member's role?
- Yes — go to Organisation Settings → Members, find the user, and change their role from the actions menu.
- What happens to our data if we cancel?
- Your data is retained until the end of your billing period. After account closure, all data is deleted within 30 days. We recommend exporting your records before cancelling.
- We need more than 100 users.
- Contact us about an Enterprise plan — unlimited users, custom integrations, dedicated support, and SLA guarantees.
- Only the owner can upgrade — what if the owner leaves?
- Contact us at hello@brivkor.com and we can assist with ownership transfer upon verification of authority.
